An exciting opportunity has arisen for a Receptionist at our brand new, state-of-the-art manufacturing facility in Cambois, Blyth. The post holder will be the first point of contact in welcoming visitors and dealing with all enquiries to the Company either in person or by telephone.
Reporting to the Head of HR, and with a dotted line to the Executive Assistant to the Board, the main responsibilities of the role are:
- Operating and directing telephone calls efficiently and effectively maintaining the highest levels of customer care, whilst also ensuring the Executive Assistant is in copy for anything relevant to the Executive Team or Board Members.
- Maintaining and updating Company contact lists and ensuring all visitors arrivals/ departures are recorded to the highest standard to comply with site induction procedures.
- Maintaining and issuing of PPE to site visitors ensuring the highest safety standards are maintained before allowing anyone into the facility.
- Co-ordinating car hire and taxi’s, for both internal and external customers, ensuring the correct approvals are in place before ordering, as well as supporting the efficient processing of expenses, for Senior Managers, as authorised by the Line Manager, utilising the company electronics system, Concur, in a proficient manner in line with the Company Travel and Expenses Policy, of which should be interpreted and understood.
- Supporting the Executive Assistant to the Board with any necessary travel arrangements for Board Members, Executive Team Members and/ or members of the Senior Management Team.
- Supporting, when requests are made, the preparation of presentations for meetings, compilation of minutes from meetings with scanning and photocopying as and when required, ensuring all is undertaken in a confidential manner at all times.
- Preparing and maintaining meeting rooms to the highest standard, ensuring they are clean and tidy on a daily basis with refreshments being available as requested. This may include catering orders for external client meetings on site, with all instances being approved through the recognised company process.
- Maintaining various registers for auditing purposes that include, permits, short term business visitor visas and vehicle logs.
- Co-ordinating and controlling the purchase and issue of stamps, stationary, vending products and other goods as well as maintaining any use of petty cash that may be held at site.
- Supporting the collation and ordering of all PPE in accordance with company policy ensuring annual budgetary spend is not exceeded and records are held denoting orders versus receipt per colleague.
- Supporting the HR Team in the efficient and effective life cycle of an employee with tasks related to arranging interviews, requesting references and issuing fobs to new starts for the purpose of gaining entry to the facilities and time and attendance requirements.
In addition to the above responsibilities, the role holder is required to be flexible in relation to travel and support of other JDR locations, as well as having to undertake such duties and responsibilities as may reasonably be required from time to time and as requested by the Line Manager.
The successful candidate will have previous experience within a similar role, including experience in having supported Senior Managers, an Executive Team and Board Members of a company. The successful candidate will possess excellent communication skills, be self-motivated to meet relevant deadlines and be able to resolve queries and provide advice in a professional manner.
