JDR Cable Systems are delighted to be recruiting for an Executive Assistant to the Board, a pivotal role supporting the heart of our senior leadership team.

 

As JDR continues to grow and strengthen its position as a world-class subsea power cable manufacturer, the importance of sharp, proactive support at Board level has never been greater. This is a rare opportunity to work at the centre of a dynamic business, acting as a trusted partner to our Deputy Chief Executive Officer and providing ad hoc support to other Board Directors.

 

The Executive Assistant to the Board will report directly to the Deputy Chief Executive Officer (DCEO), with a dotted line to other Board Members. The role is responsible for the full coordination of the DCEO's diary, meetings, travel and communications, whilst also supporting wider Board members with administrative requirements as needed.

 

Working across time zones and alongside colleagues in our international locations, including Poland and Brazil, the successful candidate will act as a key interface between the DCEO and stakeholders at all levels, internally and externally.

 

The successful candidate will need to combine exceptional organisational ability with sound commercial awareness and a high degree of discretion. You will anticipate needs before they arise, prepare briefings and executive-level correspondence, track commitments and decisions, and ensure the DCEO's time is always directed towards the highest-value activities. This role requires someone who sees what needs doing and gets on with it, without waiting to be told.

 

The main responsibilities of the role include:

 

  • Strategically manage the DCEO's diary and meeting schedule, working across multiple time zones and managing all associated national and international travel arrangements
  • Coordinate and administer Board Meetings and Executive Management Team Meetings, including minute taking and action tracking
  • Ensure the DCEO is properly briefed ahead of key meetings by preparing or coordinating concise summaries and supporting papers in a timely manner
  • Track key initiatives, ensuring decisions, commitments and follow-up actions are documented and progressed
  • Act as a key interface between the DCEO, the Board and Executive Management Team, and internal and external stakeholders
  • Liaise with the CEO's team in Poland regarding meetings, visits and activities involving the DCEO and TFK Board members
  • Collaborate with site Receptionists to oversee external client visits, ensuring a high standard of customer care throughout
  • Support internal communications on behalf of the DCEO, in collaboration with the Head of HR
  • Oversee the efficient processing of expenses for Board Members, including credit card and cash expenses, providing reports as required
  • Support the delegation of authority for documentation requiring DCEO or Board Member signature, in collaboration with the Head of Legal and Contracts
  • Prepare the weekly work schedule report for the CEO and DCEO
  • Provide ad hoc administrative support to the CFO, COO and Chief Strategy & Compliance Officer, including travel, hotel and meeting arrangements
  • Attend UK sites when the DCEO is visiting, as required

 

As an Executive Assistant to the Board, you will be able to demonstrate substantial relevant experience in a similar senior support role, ideally within a fast-paced, commercially driven environment. A degree-level education combined with significant experience would be a strong advantage, as would some exposure to manufacturing or operations settings.

 

The successful candidate will possess outstanding written and verbal communication skills, including the ability to produce executive-level correspondence that represents the voice of the DCEO. The role demands a high level of emotional intelligence, absolute discretion, and the ability to handle sensitive matters with confidence and grace. Strong technical proficiency across Microsoft Office and virtual meeting tools is essential; experience with the Concur expense management system would be advantageous.
